Wedding Day Coordination

Chloe, on November 19, 2017 at 08:53 Posted in Plan a wedding 0 17
Hey everyone!
I'm curious how everyone is planning to coordinate their wedding days! We don't have a wedding planner or a day of coordinator. So I have to figure out who will be making sure everything runs smoothly behind the scenes! What is everyone else doing? Day of coordinator? A family member or friend?
I know I will be super stressed out if someone isn't taking care of things!

I didn't hire one since all my bags were organized along with doing the backdrop ourselves within minutes. Wedding party helped out with the programs and the rutuals to lut on the seats.

I was just a bridesmaid at my friend's wedding and she had a day of coordinator and team. It REALLY helped. They prepared agendas, got everyone together and held onto items of importance (phones) since the venue was outside and we were not all staying together. Because of this, I have decided to hire a coordinator. I don't want to worry on my day!

Our DJ are a husband and wife team, he does the music and lighting and she does day of coordination. Makes sure everything is in time and sync with the music!

Also one of my BMs is a wedding coordinator so she is my back up!

I created a timeline ahead of time and at our rehearsal, told everyone what it was. Everyone knew where they were supposed to be and what they were supposed to be doing. If there was an emergency, my sister (MOH) was the one to go to because she knew everything that I wanted and she could be the one to come to me if it came to that. She was a huge help in getting people where they needed to be, as well. Between her and my parents, I didn't need to worry much. My photographer knew my day-of timeline and made sure to keep people on track as well - she was a huge help.

If it helps, try typing up a wedding day timeline and give a copy to everyone so they know where they need to be and what they need to do. Put times, places, tasks and names on the schedule so everyone knows what applies to them and can make they they follow it exactly. I actually wish I had done that for the rehearsal - it would have saved me the million questions everyone threw at me! Lol

My husband, my mum, and friends and family were the coordinators day of the wedding. My husband and the groomsmen weren't going to be getting ready until after lunch so he had time to help with set up and making sure things happened.

I am having my MOH and a few close freinds arrange things for me at the hall, we really planned minimally but things add up quickly with name tags and favours etc. I am type A personality too so having a close friend who also got married seat down with me and write all the day events and their order really helped to come my nerves down. She will also be getting my cake, i have to say this event really shows you who you really can count on and who are strictly your party people lol.

I was trying to figure out how to coordinate on the day of. I can get pretty stressed out about making sure things are perfect and that people are taken care of/enjoying themselves. After saying no to the idea of hiring a day-of coordinator, we ended up deciding that peace of mind was worth stretching the budget. I was going to have my mom, MOH, and family members help on the big day, but it is a kind of a destination (Banff AB) and I wanted everyone to be able to enjoy the weekend without stress. I will still have my mom help a lot and my MOH will be the go-to contact person. I'm locking my phone away! Lol

We ended up getting a coordinator because I get stressed out pretty easily and knew that I wouldn't be able to handle everything on my own. I'm pretty type A personality and it will be hard to have somebody in charge but I trust her and feel comfortable that she will be on top of everything. At least I hope she will for how much we are paying for her lol

I think I am having one of my friends but I don't have a huge amount that will need to be done (that's the plan anyway). I think it will only be the cake to bring in, so I may just let the caterer know where it should go. Smiley smile

You can find alot of free organizational templates online in excel to help you make lists etc. I used it to help my cousin out a plan together and it was super helpful.
You can complete them then designate someone to be your point person on the day of!

Yeah, I was thinking about giving different members of the wedding party different tasks. I was also thinking about asking my FH's cousin if she would coordninate.

My MOH will be taking care of the unexpected. There will be a schedule for the day but anything that interferes with that will be taken care of by the bridal party.

We had a wedding coordinator, but I had my MoH as the person they contact for anything, as I was going to be super busy with family, hair trial, etc. My MoH was also the one that took care of dealing with the restaurant, as she had time "off" while we were off getting our pictures taken.

I would suggest you get your bridal party involved, girls and boys, to take care of those things. Or if they are too busy, do you have any good friends invited to the wedding that aren't in the bridal party that you could entrust with some tasks?
