Vendors on the Seating Chart

For those of you who are already married or very soon to be married, what did you do regarding your vendors on the seating chart? We're planning to have a seating chart professionally made up, and with 5 weeks to go, I will need to have all the correct name information to them by next week. Do I bother contacting my DJ company and get them to give me the name of the individual who will be working our event? Or do I just put "DJ"?

I am open to suggestions (but not open to changing my seating chart format lol)!

For reference, I am planning to have a seating chart similar to this one:

    I will be including them in the seating chart - no table number simply the heading "Vendors"

    Our DJ said he will eat at his station too! same with the bartenders. Only the videographers and photographers will be mixed in at guests tables. Oh, and pet sitter for our ring bearer puppy Smiley smile

    I'm having a separate table for my vendors...2 photographer, videographer, DJ and additional av person. I have invited my hairdresser and florist and they are also friends of mine. My hairdresser cleared her schedule for my wedding as it is out of town and she is somewhat high profile so I thought it appropriate to extend an invite to her as a vendor.

    I actually emailed the photographer and she said it’s better for them to eat on their own cause it looks weird in photos with 2 empty seats at the end. There is like a smaller area with a fireplace we can sit them at. We are doing assigned seating.

    Definitely not! they’ll be sitting with my dad, stepmom, grandma and aunt, as well as my
    stepmom’s parents. they all understand that we’re spending a lot on these photos and we want the best photos possible!

    The venue had vendors meal served before and did let them know the meal was ready for them as I had a specific time before the reception started.

    It was to be arranged by us to provide the meals for them.

    It makes sense... they want to keep an eye on their equipment so they want to be seated as close as possible.

    My photographer is the only vendor that is staying for dinner. My venue coordinator told me I didn't have to worry about feeding and seating her. My officiant will most likely not be attending dinner. So my photographer gets to mingle with our VIPs lol

    Thank you! I found someone who can make it, now I'm just dealing with the cost of it lol. I know for sure after reading all these great responses that I will just put my DJ company's name instead of sourcing out the DJ's name lol.

    Interesting! I could definitely coordinate it with the floor manager of my wedding to direct my vendors. Good idea Smiley smile

    So odd to me that the DJ wants to eat at their booth lol. I didn't realize it was a thing until I read the responses on this discussion lol.

    Good idea to put the rest of the vendors together, I think I'm for sure going to be doing that.

    Are you seating your photographers and DOC at their own table or mixing them among your guests? Since we don't have too many vendors we're putting them at a table together I think.

    I don't know why I've never considered that the DJ would want to eat at their booth! Since mine is coming from a large company, I'm just going to have them assigned to a table with our photographers probably.

    That's what I'm thinking of doing too since it's a big DJ company who won't "assign" us someone until a week before.

    Hmmm, that is weird! Is there another room that they can discreetly sit and eat in? Are you doing assigned seats or just sit wherever?

    Uhmm love your seating chart! I agree with everyone else in that I would just contact them to ask what they prefer. I also like the idea that if you are unsure of the person's name then just putting the name of the company would work.

    Your DJ will probably eat at the table their equipment is set up as. mine did. I didn't put vendors on the seating chart.. they were shown to their table by the venue that set a table for my vendors.

    Our DJ will be at his DJ booth towards the back so he's covered there! So maybe ask if they plan on sitting with their equipment or if they want to sit among the guests

    Our photographer is sitting near the front with our MC so she can get the best views. Our officiant is also invited to stay for dinner and will be at the same table if she comes. I just emailed my venue coordinator to ask if I'm expected to seat and feed her, if so, she'll be at the same table.

    I would just shoot your DJ and other vendors a quick email and ask if they require a seat. Our caterers, bartenders, and DJ all preferred to eat at the booth/bar/back. The only vendors sitting in at the tables are the photographer and day of coordinator.

    I would just double check with your vendors to see what they would prefer. Many DJs usually eat at the booth so they can control the music.

    Best to check with them first!

    Our route didn't include vendors name on the seating chart. They were provided main courses only half hour before the reception.

    Our DJ asked to have his meal at the DJ station so that he didn’t have to move around to control the music and our photographers didn’t stay for dinner- best to ask them what they want/need

    With our DJ company.. I know the DJ for our event could change up until a few days before.

    For the reason I may just put the company name on chart and place setting.
