Welcome dinner/cocktails

Hi, I was wondering if anyone has done a welcome dinner or welcoming cocktail hour(s) for out of town guests?
I would say that 1/3 to 1/2 of our guests will be from out of town and many have never been to Moncton before, so I really want them to feel comfortable and not like they just flew out for a wedding where I'll see them intermittently during the wedding.. I just want it to be more intimate I guess since they will also be taking the time and money to come out to our wedding. I like the idea of doing welcome bags as well, I just feel like they deserve a little more face-to-face time as gratitude for coming.

Maybe I'm over-thinking this...

But for those who did do a welcoming, when did you do it? Did you veeto your rehearsal dinner for the welcome dinner or did you do just cocktails after the rehearsal dinner? Did you rent out a venue or just make a large reservation at a restaurant?

    I've been a guest to an OOT wedding where we flew to, and I appreciated them having a welcome party in lieu of a rehearsal. Now that we're having our wedding with lots of OOT guests, we will probably be doing something similar.

    We are all traveling to the Okanagan for the wedding, so we are having a Wine and Cheese Reception meet and greet the afternoon before. We have about 40 people and many don't know each other. We are doing the rehearsal before that event and then leaving an hour break for everyone to have dinner before we are hosting BYOB "open houses" in our respective rooms. I think we'll take that hour to nab a picnic for 2 amongst the vines away from everyone and just breathe, or hyperventilate whatever Smiley smile

    We're having some after towners join us at our rehearsal dinner after the rehearsal (both are at the same venue) so we'll have time to visit with them. We might also do a brunch the day after for family that's out of town.

    I am hoping to do one but not sure on all the details. We are going to meet in the hotel lounge for drinks and let everyone know that if they want to join us to come on down probably around 8/8:30. No tab or open bar or food. Everyone will still just pay for themselves but it will be a nice relaxing setting to get to catch up before the big day. If your not staying over anywhere you could always have an open house at your place or the home of a family member maybe.

    We will be doing a rehearsal and dinner earlier in the evening just with wedding party and family. But like you I want to also make time to spend with family and friends that are traveling from far away. Very few people actually live where we are having the wedding (us included). And I don't get back that often to see family anymore so the more time I can spend with people the better.

    We had a welcome dinner the day before the wedding and it was intimate. Welcome bags were given out too too every room as well with information bundle for the next day timing of events. It is a nice thought and don't go out too much to put more than needed. It was at Mandarin restaurant near the venue.

    Our welcome bags included:
    2 bottled water
    2 granola bars peanut free
    5 toonie chocolates in organza bag
    Mixed nuts in an organza bag
