Venue Price Discrepancies... hoping this isn't too common

Zoe., on March 4, 2020 at 16:49 Posted in Plan a wedding 0 13

Hi everyone Smiley smile

I'm new here, just got engaged last week. Obviously very early on in the planning process. We haven't chosen a date, the venue we end up choosing will likely impact that but aiming for May to September 2021.

I found a venue on here that I fell in love with. The prices they had listed were on the high end of our budget but definitely doable. On their listing they state that "as a destination wedding venue, you'll enjoy exclusive access to this property from Friday to Sunday so you can spend time with your guests all weekend long" Maybe I'm naive, but I assumed the rental cost for peak season included the on site accommodations based on that and other parts of the description. It is not a hotel, but a private property with rooms for the bridal party and immediate family. This venue is in our home province- a far drive but not a typical DW. Whether the accommodations being included was misleading or not, my nightly quote was nearly double what is posted on their website (the total of 4 rooms per night on website=$1100, my quote=$2000) Additional rooms also available for a somewhat ridiculous amount. The ceremony fee is a few hundred more than they have posted. Their quote is pushing 30k, when I had calculated half that based on their posted info, even taking into account taxes and grats... so I'm not talking nickels and dimes here.

It originally stated outside alcohol allowed, but after speaking with them that is not the case because they are a "licensed property and do not allow outside staff on site or sale of outside alcohol". Fair enough, but that wasn't what I asked. I explained again that we want an open bar- there would be no "sale" and many venues charge a fee to bring in your own and then we pay their staff to serve it. That's absolutely fine if they don't allow it, but he keeps speaking to me like no venues offer this. When I politely asked if there was any wiggle room anywhere, especially if we changed our date from peak season, his ONLY suggestion was to have a cash bar and bridal party pays for their (outrageous) rooms. Lol, thanks guy. I'm aware passing the expenses onto my guests would save us money but I'm not interested in doing that.

The catering quote is way higher than previously stated, basically ALL the information they have posted publicly, my quote is double. I understand inflation and yearly increases, but come on.

Sorry for the long rant. This just left a bad taste in my mouth and feels like they are doing a bait and switch. And don't like being spoken to like an idiot. Hoping this is not the norm with venues. Obviously it won't be the right fit for us after all but wondering if anyone else has had similar experiences and if I should be prepared for this to happen again.

Cheers!

That Totally sucks- definitely seems like they’re trying to get as much money from you as possible. That being said- we also found that there are a lot of “hidden charges” that come with most venues that aren’t totally publicized on websites.
We had a terrible time choosing a venue- we walked out of a few appointments because the sales person was so rude, or talked down to us like we were poor or something. It was very odd to me that you’re there, ready to throw thousands of dollars at them, and they treat you like crap!!! We finally did pick one we were happy with- but even then- there are still random silly charges and up charges for everything.... it’s been a bit of a hussle lol... but stand your ground!!! If you don’t like what you’re hearing walk away. No one should talk to you like that. Find a vendor that is more accommodating and more communicative. It will save your wits in the end 🙂

Venues tend to raise their prices without notice and not change their websites upon that decision. Its common to have price change unexpectedly when speaking to a planner. I had a change told about room pricing by $10 though the contract didn't stay at the rate given when provided to the family and friends invited signed in 2016. By 2017 coming along, the change was gone up in March and had to inform all the family and friends attending.

Ya I dont think that the venue you looked at would be one I would feel comfortable using. Especially if they had no reason for the discrepancy

I would make a list of everything you want to them to do and ask them to come up with a custom package for your for ALL in pricing and see if they offer any discounts to you. when my venue was telling us prices we asked for a discount and thye gave us one!!

I'm totally prepared for the occasional hidden fee and if it was within the same ballpark would have been fine. This quote was insane! I'm glad you found a great venue! Smiley heart

    Thank you!

I did screenshot everything actually for that purpose after I noticed they had changed their info about bringing in outside alcohol after our discussion. I do plan on emailing that, just wanted to take a couple days so that I can write a diplomatic and non emotional response lol. I was quite irritated by not only the quote but their candor in general so didn't want that to come across too strongly and burn any bridges in the off chance this venue does somehow work out.

Great advice! Love the idea of suggesting there might be a copycat venue haha.

Right! Ok I'm happy to hear this isn't common. Thankfully we do have lots of time. Thank you.

There were a couple things I wanted to add... but those were completely separate from the parts of the quote I mentioned here. What rubbed me the wrong way just as much as the huge price discrepancies was instead of providing thoughtful solutions on where we could cut costs (like choosing off-season as I suggested to him... which is definitely cheaper) only response was to change open bar to cash bar Smiley amazing Had to shake my head lol thanks tips!

My venue had the same price as quoted on their website within a few dollars per person. I figured out the taxes and gratuities but they said there were other fees that were also in the price. I was fine with that since the website said taxes, gratuities and fees.

Super weird.... have you brought it to their attention that their website states otherwise? (If you haven't - take a screen shot of it in case they quickly update it.)

I would just look for an explanation from them and a detailed copy of the quote so that you can put the prices from their website side by side and then send them a copy questioning why there is such a big difference and if maybe by some bizarre chance there is another venue with the same name for the better price Smiley tongue

P.S. Congrats on the engagement and welcome to the WW community!!

It seems sketchy to me that they would have prices online and then not honour them. It would be different if you were adding things on but from what you've said all the basics have ended up being more than they advertised.

If it were me I would shop around. You still have time to find a venue that fits your budget and your dream day. Especially where you are so flexible on the dates you choose.

That would be ideal but it is a 9 hour drive (or a short flight) from us. Which we would have no problem doing- once we have decided that's the place. Based on our correspondence so far I'm thinking it would be a waste of time and money to go in person at this point. (Phone and email back and forth with the venue manager) Glad to hear that's how yours was! Smiley smile

For my venue personally, you couldn’t get an info online. So we had to make an appointment and learn about the venue and get quotes, etc.

So I can vouch - not all venues are like what you described.
Can you sit down and meet with an actual coordinator at your venue to figure out what’s what?
