Schedule of the day

Sarah, on August 2, 2019 at 21:07 Posted in Plan a wedding 0 7
I recently hired a Day Of Coordinator and she would like me to prepare a schedule for her for the big day. I am a little surprised as I assumed she would do that but I guess not lol. Anyway does anyone have any tips or want to share theirs?
We are having our ceremony and reception at the same place. It’s a spa and resort so we’ll be staying there the night before as well and getting ready there in the morning.

6:55pm – bride and groom enter

    7 pm – first dance

    7:15pm – wedding entertainment

    7:30pm – dinner

8:15pm – speeches (moms, dads, family members, friends etc)

    Hey there Sarah!

I always advise couples that the best way to go about building your day-of-timeline is starting at the end (or with any concrete times) and working your way backward or around!

Here is a WeddingWire \rticle which will help you build out your wedding reception timeline -

Wedding schedule is easy as working with your day planner timing and what is happening what time, keeping in mind how long you need and what other set up is being done at the church/venue. Any decorations being transferred for use of centerpieces (if this is happening).

Like tori said she may not have an idea of who you booked or when they are coming. Our ceremony and reception are at the same spot too so here’s what I have for mine so far :
    7:30- hair and makeup starts
11:00- photographer arrives for bride getting ready pictures
12:30- photographer arrives for groom getting ready photos
1:00- limo to pick up bride and bridesmaids
1:45- limo to pick up groom and groomsmen
    2-2:30- first look pictures
    2:30-4- wedding party photos
    4:00- limo pick up
    4:30- arrive at venue
    5- ceremony start
    5:30- cocktail hour begins
    6:45- entrance and first dance
    7- dinner is served

when planning yours, start with your ceremony time and work backwards. My photographer helped a lot with the timeline, and giving us suggestions. Make sure you include travel time into everything!

I mean for the most part it is their job to make sure the day goes smoothly but I do get that she wouldn't know when you have things planned for. They just need to know this to know where they should be and what they should be doing.

For my DOC I will let her know we plan on:

Setting up the venue the night prior at rehearsal supper

    Wake up time TBD rn

When we will start hair and makeup

When we plan on doing first look

    The rest of the pics

    When guests will start arriving

    Ceremony start time

Order of people to walk down the aisle

    Reception time

    etc.

Only thing is that my DOC gave me a couple sheets to fill out asking for all of that. Oh, and a list of vendors and their contact info.
