Hotel blocks

Sapna, on September 13, 2018 at 12:42 Posted in Plan a wedding 0 9

Hi - we're having our wedding about an hour and a half from Toronto, where most of the guests will be coming from. Plus I will have family coming in from the US (NJ and Ohio areas). It just occurred to me that I should have a block some rooms in a nearby hotel for guests who do not want to make the trek back to Toronto. How does one go about doing it?

Every hotel is different! Your best bet is to call that particular hotel and find out what their policy is. Our hotel doesn’t work like a lot of other peoples. We are financially responsible for the block of rooms we want to book. And it’s a minimum of 30 rooms. That’s almost $10,000. So we opted to send invitations out early. And let people know that rooms sell out fast so to please book early. We do get a group rate still though. 15% off.

I think it depends on the hotel what their rules of are for the block. We got a hotel block and there is a cut off date for people to book and we are not responsible for any rooms not booked, nor are we responsible to pay for rooms. The hotel will give you a contract for the block. I would read it over and just make sure the terms are acceptable. Good luck Smiley smile

Call the hotel directly and book rooms needed for guests and rates to provide on the accommodation card with wedding names to book under. If you need more rooms booked, ask for them and let your guests know.

Call the hotels directly or email the sales manager. You have to know how many room approximately you will need. If possible just ask for a group rate and not and actual hotel block.

With a hotel block they actual put aside so many rooms for your party. If they have rooms left over then you are personally responsible for paying for the left over rooms.

With a group rate they don’t reserve a set number of rooms necessarily. They will put a certain number into the block and as they are booked up they put more. Guests can book at the group rate until the hotel is filled or the deadline they give you for your group code. And you are not on the line for the extra rooms.

Call the hotel directly. Ask to speak to the group sales person. or a sales manager.

super easy to do. they usually will hold the rooms/block and price till 1 month before the wedding. then anything after that its whatever the price is.

and a lot of hotels will do a deal that if so many rooms book you get an upgraded room or a free room. (with my block if enough book, I get upgraded to the junior suite...which I already have reserved. if the next level/amount books I get the night for free).

I wasn't sure how this worked either, I thought I would have to reserve the rooms for them (with a credit card or whatever)... but usually what you do is contact the hotel, estimate the number of rooms you want blocked, give them the dates, then they'll give you a deadline for how long they will hold it for (usually up to a month or so before the wedding).
Your guests should be aware the blocks don't last forever, and they should book ASAP.

Find the email address for the hotel and email them. Let them know the dates, that you want a room block for your guests, and approximately how many rooms you think you need. They should reach out to you and help arrange it.
