Help with set up

Stephanie, on July 26, 2021 at 17:36 Posted in Plan a wedding 1 11
We are getting married next year and I am doing most of the decorations myself. My problem is how do I get them all set up the day of? My venue will not allow me to come in the night before to set up and will only open at 10am to set up. My ceremony starts at 4pm and there is no way I can be at the venue at 10am set up and rush back to the hotel to get ready in time. All the people I would trust to set up are part of My wedding so I can't ask them to help either. My venue do not have a Day of Coordinator. Any recommendations on who I should be looking for?

    Hi Amanda, great suggestion!

Hi Stephanie, thanks for asking this question!

Any Toronto-based couples have suggestions for an affordable day-of coordinator? I'm in the same boat myself.

    Hey Stephanie!
Same boat here, I have a crew of trusted friends lead my by creative aunt to do these things. A few ahead of time I plan on setting up a faux table setting to show them what the plan is, with pictures for the day. My florist also (bless those women) have also offered to help with setting up the day of.
At some point though, it will be what it will be. People won't remember the perfect flowers or table centers, but they'll remember a stressed bride. So find someone who you can give the job to and accept that you're going to be so happy and beautiful that all eyes will be on you anyways ❤.

A day packed of full workout for set and getting ready is a handful. The best suggestion I could give from my view is to make a layout and what has to be done for each table so that the family can help if you are busy and just to show what the centerpieces will look like with the table numbers/theme set. This will help out so much so that you will feel confident the set up will be completed and someone can send you pictures of the finished look.

Luckily I don't have this issue, but I think more often than not it ends up being the moms doing the set up. I would go at 10am and set up one table as a "mock table" so they know exactly what you expect.

    Hello Stephanie,
I am in the same boat right now. I’m getting married this year October. I kind of see myself as “I would like things to be this way” and wish I had a clone. Hahaha. I am putting together all decorations myself. I was told by someone that I can separate, label 🏷 and pack the decorations table by table in order for whoever will take care of it to know what goes where while I will be on the phone confirming all is well at the end of setup. I’m still in the process of thinking about a day of coordinator. I know my sorority sister has this type of business. But I was trying to save since this is a small budget wedding.

Wishing you luck on your plan.

I would hire a day of coordinator to take care of all the set up and take down for your wedding. That way you're not having to deal with all of that on top of getting ready for your big day. My fiance and I have hired one for that exact reason. She'll be putting all of our centerpieces together, our walk in table, cake table and our ceremony accessories. She will also be helping with any questions that the vendors have or need help with since we won't be at the venue until about half hour before the ceremony. She's also going to be with us during the ceremony to help with timing of walking down the aisle for all of us as well as the reception of when to enter our reception area

I was in the same position and decided to hire a day of coordinator, as mine did set up and tear down in addition to coordination of vendors (Don't forget about tear down!! You don't want to be taking down decorations at midnight on your wedding day!)

Mine offered different packages, and we could have booked her just for set up and tear down, but we figured the day of coordination would be really useful too so we went for both. I'm sure there are people in your area that would offer the same sort of thing.
