Do we find another venue?

My Fiancé and I have decided to have our ceremony and reception at a ski hill resort in Alberta. Of course, as many of you are experiencing, it is uncertain to know what things will look like for our wedding date (October 2021). We have had multiple in-person and email discussions about COVID restrictions with our venue and asked them to include a clause into their contract so that everyone knows what to expect if things get cancelled. )How much of the deposit they will keep, what it might look like to postpone, etc.)

It has been 1 month since we have asked for this revised contract.

I have called and emailed our contact at the venue multiple times and he keeps saying we will have it by the end of the day... but then I never hear from him.

I have even broken down in some of my emails what our concerns are and the wording for what a contract clause might look like - trying to make this as easy as possible.

It is truly putting a bad taste in my mouth and I am wondering what correspondence will look like as planning progresses.

Has anyone else ever experienced such lack of response and attentiveness from their venue before?

Is this something we should stick out? or should we start looking for alternate venues?

    You're likely dealing with a sales coordinator. You can escalate to a Event Manager or Catering Director.


    Since you haven't signed, I would seriously consider exploring other options. They're already jerking you around when they should be trying to get your business. I can imagine only how much care they would give once they locked you into a contract.

    No deposit yet as the contract isn't signed. I'm not sure who we could escalate things too. i'm just hoping that after we are locked in we will be working with more than just this one person. The venue is a 2 hour drive from our house so it would be best if we could communicate via email and phone

    Thanks for your positive thoughts Vinod. I am hopeful they will get back to us and are just busy with the ski season like Amelia said. I think I am just very anxious to get things started

    It's a good idea for us to keep record. I don't think we would ever want to take them to small claims for this but holding record might help keep them more accountable.

    You have all your email correspondence with them, and I would record any future calls just in case they try to say they never agreed to these clauses. Should it come down to it you would have enough evidence to take them to small claims court over any lost funds(if that's worth it). Keep corresponding, and try to give clear deadlines like " you have told us repeatedly that we will see a contract by the end of the day, please send us a copy to review by X date". There's a fine line between keeping in touch and being the annoying client that people dread dealing with, so try not to email more than once a week and if you call wait a few days after the email so they have time to respond. If you truly feel they are ignoring you ask if there is someone else at the venue who can take care of you.


    If this was happening in June when everyone was trying to rebook and change dates I would have assumed that they were busy with other brides and that maybe they were prioritizing 2020 weddings over 2021 ones. But it's November and wedding season is pretty well over. Unless they are swamped preparing for their ski season there doesn't seem like there's a reason not to take care of your request sooner than later.

    Many couples like yourselves have experienced this situation and given the time to get answers. The deposit may be a loss if you decide to find another venue, if given already. You may be lucky if you haven't paid yet if the contract hasn't been signed. Covid clause is not something they usually do unless they do write it themselves and send you a copy as requested. \

    Keep on trying and hopefully they do get an answer to you. Some venues have a tendency not to reply or check emails often to get back to clients as fast as we want answers and its terrible on their end. I hope you can stick it out if things go your way. If another venue has to be found, I hope its better than this one.

    How much of a deposit do you have with them? Is this something you can escalate to a higher up for an answer?
