Destination wedding help!

So my fiancé and I plan to have our wedding in Costa Rica, but not until Jan, 2019! We put a deposit down with a destination wedding planner and we are happy with the arrangements, however our guests are required to make a deposit by august 2017 for our group rate (yikes)! The deposit (150$ per person) thankfully is a small percentage of the cost. So my question to you all is, how on earth to I word this information on a save the date?! The guests must contact the wedding planner who will then work out the details with our guests, but I will need those people to go ahead and contact the wedding planner first. I will be providing her information as well as the location/departure date... but I'll also need to let people know about the august deadline, should I include the deposit amount on the save the date so people don't get worried that they will have to dish out a bunch of money right away? Our guests will have over a year to complete their final payment? Basically the rate we were given due to booking so far in advance is unbeatable, guests may also book after the deadline, but the prices will increase. what should I include on the save the date?
HELP!

    Hi There, Im also doing a destination wedding but Im a bit overwhelmed.

    I got a wedding planner from destinationswedding but they are in reality more like a travel agent so the only help Im getting from them is by booking my guests flights and hotel and payments (which is very helpful)

    We are going to Bahamas, staying at RIU (needs to deal with their planner to arrange rehearsal dinner ) but our ceremony is at The Cloister (dealing with One & Only resort) and Reception at Fathoms Aquarium (its inside Atlantis so needs to coordinate with them). On tops of that, the decoration company .. wild flowers Bahamas (which has been amazingly patient with me).

    With that being said, Im the one who needs to plan everything and deal with 3 different companies and each vendors. Crazy. Talk about dj, minister, cake, etc etc etc

    I would love to learn more about what other are doing and How i can make it easier on me.

    Im now trying to figure out wedding guest favours and escorts card table.

    I'm a wedding planner in Costa Rica and we handle travel for the wedding groups as well and have NEVER had guests have to place a deposit that far in advance. I'm sure you have already, but if not I strongly suggest checking out the planner and triple checking with the hotel that the room block is there and their policy info etc.. We have guests deposits anytime up to 3-4 months prior to arrival depending on the specific hotel policies, and balance 2 months prior to arrival. A year and a half in advance deposit, though small, is something I've never encountered in many years of planning. Good luck!

    We went to a destination wedding and the invite we received had all the info. Who to contact, by when, how much the deposit was, what the special rate was (so guests can do their own search and decide), when the balance was due. The invite had ALL the info and it was super useful for us to decide if we could go.

    I agree with Erin, I wouldn't worry about making it cute or fluffy. Just state all the facts and deadlines and let people make their own decisions. Some thing like: Our wedding will be in Costa Rica and we would love for you to join us. If you are planning to come and would like to book under our group rate you will need to contact (wedding planner) at (contact information) by (August 2017). You will also need to make a deposit at that time. Unfortunately the group rate will not be available after August 2017. We hope you will be able to help us celebrate in Costa Rica!

    I would say that you should give people as much information as possible so that they can make an informed decision and then you won't be running after people forever.

    Hi Kelly! Nice to meet you here! Sounds so nice a destination wedding. I would let them now on the save the date. They will understand. I would put that they must contact wedding planner and that you hope they can make it before the expire date, because otherwise the prices will increase.
