Timeline help

I’m trying to finalize my timeline for our reception. Specifically related to the meal. We are having a buffet and there will be around 60 people there.

I’m planning on cocktails from 5:30 -6:30.
I was then going give about 10 minutes for for people to be seated and for someone to say grace. So we will start going through the buffet at say 6:40.

I want to do speaches and maybe the shoe game while people are having coffee and dessert. What time should I set for that? I need to give times to our venue to serve coffee and tea, and to let our mc know. i was thinking of putting speeches at 7:45. And allow 15 - 20 mins for speaches and the game. And then our first dance at 8, and that’s when the dancing starts and bar reopens. So maybe have the venue serve coffee and tea just before that? Does that make sense

Any ideas or opinions would be appreciated. Thanks.

    Yeah hi Karen. Maybe you should actually read the question before trying to advertise a blog that I’m go to assume is yours. My wedding is in less then 30 days, and it’s the timeline for the wedding reception I’m working on.

    An announcement is a great idea...ask your dj/mc to have a look around at the 715-720 mark. see where the majority of the room is. and then either announce at that point that speeches will be happening soon if anyone wants to grab some dessert. or announce at the 730 mark.

    I know me...I would be hurrying to get more dessert after an announcement hahhaha

    I totally get that. But in my mind.... people are more likely to eat faster than too slow... So you're more likely to have people on seconds & dessert than still finishing up dinner.

    I think announcing speeches will be starting, and please help yourself to dessert/more dessert, tea/coffee, is a great segway to make sure people aren't sitting there without a yummy cheesecake and coffee through the speeches!

    I think if you did that it would make sure everyone's done dinner, and everyone has a chance to grab dessert before it becomes rude to get up during speeches. Also, I'm guessing your venue will leave desserts out? So once speeches/first dance is done, people can have more?

    I think that announcement is a great idea though!

    See that’s what I’m worried about. I know the first people will be done eating. But I don’t want to be starting speaches just as the last couple tables are heading back to the buffet tables for dessert (the actuall buffet tables are just outside the ballroom).

    I’m thinking of maybe we could announce around 7:30 that we will be starting speaches in a few minutes so everyone can go grab some more dessert (and have the venue serving coffee and tea just before that). And then start the first speach at say 7:40?

    I’m ok if the first dance is a little sooner or later. I just want to try and time the start of speeches so everyone will have had a chance to grab dessert and coffee.

    Mmmmm sooo many yummy desserts! Haha. I'm jealous.

    I would definitely stick by the 7.30 timeline then.. because people who get their food first will most definitely be up for dessert already by then... and the last people to get dinner will probably be done or just getting dessert.

    I agree with Brittany on the 730 as the guideline.

    And I have found most halls/djs will pay attention to the flow of things. and adjust accordingly.

    We have desserts on the buffet. There will be different cakes, cheesecakes, mini tarts, cookies etc (yes I’m excited for dessert) So guests can get dessert as they want. We want coffee and tea served for people to have right after their meal as the enjoy dessert. That’s when we want to do speaches etc. And we are keeping speaches minimal.

    We aren’t having a cake and the whole
    cake cutting thing. We are having cupcakes and candy table (in addition to the dessert on the buffet). That is what we have planned for a later evening snack and our venue will also set up coffee and tea for people have later as well (say around 9:30-10pm).

    I would say 7.30pm... My venue allotted for one hour for dinner... but I have 100 people as well. So I think if you're wanting people to still be sitting, I'd aim for 7.30. If anything's delayed, you can just wait til more people are done eating before starting. Trust me, speeches may run over, so if you want your first dance at 8, I'd aim for earlier. You can also let your MC/DJ know that whenever the speeches/game are done, you'll be going into your first dance regardless.

    What are you doing for dessert? Are you having a cake cutting? Most of the time you'd serve coffee/tea and the dessert after the cutting.
