Need Help Choosing a Reception Venue

Hello Everyone! So, me and my fiancee haven't decided on a reception venue because we are stuck between these two.

Both of these venues have roughly the same price-point. I will include as much details as I can for each venue. Need help in choosing or advises.

A little bit info about our wedding: We are looking at 80 people (with their kids). Half of our guests are from different provinces (Manitoba and BC mainly) since we are travelling carnival workers. We want a formal-attire wedding because our theme is "A Hint of Disney". We both love Disney so much so we are gonna incorporate that with little touches here and there... without it looking like a children's party. On our reception, we want to possibly have karaoke and/or dance. (I still don't know how I am going to do that). It doesn't matter to us if it is round or rectangle tables. We don't have a wedding planner nor planning to hire one. We are doing everything ourselves with the help of our friends. Also, we have a puppy who is going to be our ring bearer for the ceremony (outdoor venue) that we already booked. We have someone to go back and forth to the hotel during reception to take him out. Option 1: The Commons Calgary is a hidden gem, building looks like an industrial area in my opinion but the inside is just "WOW!". The main hall (Hemingway Hall) is a large open space, with high ceilings and beautiful chandeliers (that you can adjust to go higher or lower). 2 sides of the walls is red brick walls and the other 2 is plain white walls. There is ample free parking beside the building's parking lot. They have 2 other rooms for rent (extra cost), a lounge area and a bridal suite/meeting room. We are not looking to rent the two extra rooms because of our budget. Since it is a big open space, we were thinking of having some kind of dividers if we want a karaoke area or a game lounge for the kids. Rental includes Day Before, Day Of, and Day After. We can bring our own alcohol with no corkage fees. Rental also includes rectangular tables and clear folding chairs, no linens or chair covers. It is a Dogs-friendly venue, and hotels are 5-10 mins drive away.

Option 2: The Pioneer Calgary is located in the heart of downtown. The outside of the building looks like a historical building which is really beautiful. Paid-parking is available on the streets or on the parkades around it. (Parking downtown is Pricey!!!) Although, the hotels around the venue are just walking distance away. I think there are roughly 4 hotels close by. The venue includes all 3 levels... the main level is main hall which is huge and can be closed off with a divider as well. The top level is like a lounge area with tv... we were thinking it could be a game room for the kids. The lower level has a high ceiling... and is great for cocktail hour and for the dancefloor. The dancefloor could either be on the main level or the lower level. We were thinking of having the karaoke on the lower level, and the dance floor on the main level with the dinner set up or the other way around. I do love the staircase! I always imagine myself walking down the staircase on my wedding day. (Places with grand staircases that we looked at are just way above our budget.) The venue has plain white walls and the 2 stony walls (only in the main level) in the picture. My fiancee says it's too white for her but I love the white walls. I've been bugging her to have white walls in our future house. hehe Rental only includes the venue on the day of... no chairs, tables, etc. I am still waiting on their reply on whether our dog is allowed, although it doesn't matter because hotels are super close by!

Okay, I know it is a lot! Thank you so much for making it this far! Phew! Smiley smile So overall, it's basically staircases vs chandeliers. I love the chandeliers on The Commons and the staircases on The Pioneer... which is why I can't decide. Another reason I can't decide, is if I want a huge open hall vs 3-storey hall. I like the open hall because you can see everyone in the dancefloor, karaoke and game lounge area. (I mean with the open hall we will just have the karaoke and dance mixed together) I like the 3-storey hall because we can have karaoke downstairs, a dancefloor on the main hall and a game lounge upstairs which gives everyone separate spaces to hang out at. And my fiancee says she loves them both and that I should pick the reception venue because I let her decide and pick on the ceremony venue. Both of them are the same distance away from the ceremony venue.


I am open to any suggestions, advices, or votes on which venue to pick.

    I would also go with the 1st option - The commons! You have it for the whole weekend which is a huge stress reliever! Plus, your fiancée did say your face lit up, so I think it says it all!

    I would go with Option #1.

    While Option #2 sounds great because of the different levels, you'd be getting less and your guests would have to search for and pay for parking (which would add up). Having to rent and coordinate chairs, tables, etc. can also be intimidating and add up quickly. Having the option to bring your own alcohol will also save you a lot of money (especially with no corkage fees) and because it's a dog-friendly venue, you may not have to designate a guest to go back and forth from venue to hotel to check on your dog.

    I think I would go with the first option as well. Having a venue for longer when you need to set up and take down decorations etc. Will alleviate a lot of stress from not only both of you but your families as well.
    Free parking is also a bonus. It makes it easier for guests to park closer to the venue then having to worry about finding parking and then paying.
    What I did when picking venues is make a pros and cons list between the 2. This way you can really work through both venues, what you need, and compare them!

    I would definitely pick the first option for sure!
    Your wedding is a party! Everyone should be all together on the same level - you don't wanna be searching all 3 floors for someone.
    Also, having it for the day before, day of, and day after! That is truly amazing!!! That alone makes me sold on it! You will have next to no stress with that! All your decorations, booze, etc can be setup ready to go the day before and you can actually see the finished result before the big day! Then after your wedding you can simply leave and not have to worry about anything. Next day you go in for clean up, take down decorations, etc - you honestly don't have to rely on anyone or stress if you missed anything. Hands down option one!

    Thank you, I'm glad to hear that you love our theme. Not everybody appreciates it but IDC... I LOVE Disney so much!!! Yes, we got some ideas to incorporating the red brick wall as our "touch of Disney" like maybe putting an old door in front of it to make it look like a castle wall for a photobooth. 100% agree to going to what I feel more comfortable in. Both venue managers I talked to from each location were very kind and polite people as well. They were very detailed and really easy to talk to. Which is way I'm also kinda torn. But based on the comments so far, I am leaning towards The Commons. Smiley smile

    Yes!!! I'm leaning towards Pioneer mainly because of the staircase... As soon as I got in the site visit.. I was like I'm gonna make my entrance here on the staircase! hahaha but my fiancee said that my face lit up the same way when I saw the chandelier at The Commons.

    Based on all the comments so far, I am leaning towards booking The Commons. I didn't really realize how much renting tables and chairs would be such a headache.

    Thank you so much for the response! I forgot to add that the Pioneer has preffered caterers and one of their preffered caterer can provides tables, chairs and white linens without extra cost is what the venue manager told me. And yes! The day before and after absolutely helps relieve the stress. Silly me, I didn't think about the rehearsal... oops! hahaha thank you for pointing that fact.

    One thing to consider - with 80 guests, having your wedding split into three zones may leave each area feeling like there's not too many people there (20-30 on average).

    Ughhhhh!! So difficult because there are pro's and con's to both!!

    If I had to choose for myself I would go with Venue #1 though. The whole chairs and tables needing to be rented would give me too much of a headache as well as the fact is you get the venue at #1 for before, day, and after!

    Right now it only sounds like the main thing you like about #2 is the staircase which to me would be kind of a let down - but even I'm doing without one for my wedding (don't worry, we will have pics on a dock instead Smiley tongue )

    I think option one would allow for a more intimate feel for the wedding. As far as parking, guests will appreciate the free parking or having the hotel close enough to get a cheap Uber to/from the wedding.
    You may even be able to work the red brock into your “touch of Disney” theme (which by the way absolutely LOVE that!)
    if they are both in the same price range, and both have something that really stands out to you then it comes down to which one you

    I think the first option- The Commons. Having it the whole weekend will save you a ton of stress believe me. I only have my venue the day of and it is irritating. You will be able to rehearse there too. I do not like the idea of breaking your group up in the floors of the Pioneer. And The Commons comes with things that are EXPENSIVE to rent. Like $7.00 a chair. It will add up!
