How Many cupcakes do we need? Have other Desserts too!

Hi everyone!

We are getting married next summer.

We have decided to do cupcakes with a small cutting cake for photos.

However we also have dessert included at the end of our buffet. Assorted Cheesecake, tortes, and brownies.


How many cupcakes do we actually need? We have between 100-120 guests. But I am assuming some might not want a second round of dessert.

    Since you are doing a late night station as well I would get 1 per person. Some people will have more then one since you have multiple flavours. Now you could “round down” so say you have 100 people confirmed, you could order 96 (8 dozen). But I wouldn’t go much less then that.

    Our venue is doing a Sundae Bar for us, but I've also ordered mini cupcakes. So the norm is usually 1 per person for full size, and 2 or 3 per person for mini.... but because we have ice cream, I've done 9 dozen (108) minis, for about 100 people... So one mini cupcake each + ice cream...

    You could also switch to minis if you were concerned about too much/waste? People somehow think it's less dessert if it's smaller (even tho they end up eating the equivalent of a full size cupcake Smiley xd )

    I probably would, mostly because of my sweet tooth and I know others in my family are the same!

    In all seriousness, I would talk to your cupcake baker and see what they recommend. Let them know you are doing late night snacks too.

    1/2 the amount seems good since other dessert is being offered at the table. Variety can leave a lot behind to take home.

    I have seen lots of wastage when this happens at big weddings.

    I had carefully ordered pastries according to the size of the 3 tier cake to feed all my guests and family.

    As everyone else said I think 75% is a good aim!

    Usually they come in dozens so maybe 6 or 7 dozen cupcakes! Should be more than enough!

    We are doing the same! Cake for pictures only and then having a sweet table along with 2 served Indian dessert dishes! Not worried in the slightest I know there will be more than enough hahaha!

    I personally would go with the 75%

    but see what your caterer/venue recommends. they are SOOO good at knowing those things. you could always have some take out containers too. that way if there is extra you can encourage guests to take them instead of you Smiley smile

    See this is where I am torn. I have some people telling me to get extra, and others telling me to go for 75-80 %.

    We are having cocktail hour at 5.

    We are having dinner with dessert at 7.

    Cake cutting around 8:30

    And midnight lunch at 10:30 which will include lots of pizza, chips, popcorn.

    Yes, you can include assorted Cheesecake, tortes, and brownies in desserts but it depends on the taste of your guest list that what they like to have.

    If you are doing other desserts. and want as part of your buffet dessert. I would say do 1/2-2/3 of your guest list.

    now if you are using the cupcakes as part of a late night snack (again depends on how much late night food you have). then I would go more along the lines of 1 per guest.

    We are probably doing 2-3 flavors.

    But we will be doing a midnight lunch of pizza, and snacks as well.

    And to be honest, I would rather not have a ton left over... or spend more than I need to.

    I agree with Emma. We ordered 96 cupcakes for 64 people. We are having a variety of other desserts as well. We aren’t fully decided on a late night station, but I don’t think we are doing one so we wanted to make sure there were lots of dessert options

    Usually you should get 1.5 cupcakes per guest, putting you at 150-180, which might mean you have some left over. Some guests will be fine with the one round of dessert, but others (like me!) might not get enough and end up eating 3 cupcakes. Also, this could count as a late night snack if you leave them out/put them out later in the night. Usually dessert is right after the meal and the cake/cupcakes come out later in the evening after some dancing when guests are hungry again.

    It is better to have too much than too little and have guests complain that they didn't get a cupcake. I would do at least 150 cupcakes for the size of your wedding.

    How many flavours of cupcakes are you having? And will you also have some other late night option?

    We are also doing cupcakes and we also we also have lots of desserts on our buffet. But we aren’t doing anything for a late night other then our candy and cupcake table. We are getting 3 flavours so decided on 1.5 cupcake per person since some will have more then one and others may not have any.

    If you are doing one or two flavours I would say go for 1 per person. Some may not have any but some people may have more then one. I would only get less then one per person if you are also doing a late night station.
