Booking Our Venue

Good Afternoon,

My Fiance and I will be booking our Reception Venue tonight. Are there any questions that I should ask that you didn't think to ask before booking? We've already met with the Manager and seen the venue. We are just looking to nail down the date and reserve the space.

Also wondering how much $$ you had to put down to reserve your Reception Venue?

    We were asked to put down 25% each instalment leading up to the wedding date to a combined total of the minimum spending. Then after the wedding, they will send a final bill for the extras like wine and anything else you added.

    If you missed some questions to be asked prior to booking, you can always follow up with your venue manager and they usually respond quite promptly.

    We asked for the cake cutting fee to be waived, and to have seat covers to be included for free prior to booking.

    Our deposit was $100. Some of the other mentioned are crazy to me!! I'm super cheap, though. 😂

    We had to put down 5k.

    definitely ask for extra fees I.e., if we didn’t use their DJ, we had to pay a $400 plug in fee; if we don’t use their chairs we have to pay $250; those fees are adding up for us and I wish I had known to ask before.

    We had a deposit of $1000. Be sure to ask if they have any preferred vendors (helps you find vendors with experience at the venue), go over what is included in the package, if there are anythings you cannot do (we can't throw confetti without incurring an extra charge at our venue, and we can't use floating lanterns), confirm the payment schedule as well.

    What an exciting thing to book! Booking the venue was my favourite.
    Our deposit was $1500 when we booked. 50% of the wedding 60 days before, and then a month before another deposit and the remaining a week after the wedding.
    As for questions, the main ones have already been brought up. I think the most important ones are what is included in your package. How long do you have the venue. Both before and after the wedding

    Our deposit was $3000.00!

    Have a look online for questions! I remember when we started looking there were so many websites with lists of questions to ask the vendors! I highly recommend printing one of those off and bringing with you! Doesn't hurt to ask them all!

    Our venue down payment that was due at the time of signing (1 year and 8 months before the wedding date) was $1,000

    There was another instalment due at the 12 month mark, another at the 6 month mark, and then the damage deposit will be given 3 weeks before the wedding.

    My biggest questions were:

    How many can I fit?

    How much does the venue cost?

    How long do I get it for?

    Do you do set up/ tear down?

    Can I bring outside catering in or do I have to use you?

    What are the prices for food?

    What types of bar services are there? (full, open, cash etc.)

    What dates are available?

    Do you provide a day of/ month of coordinator?

    Nearby hotels?

    Where can I have my pictures taken?

    Can I book my own DJ or will there be a set up fee?

    I had pages of questions for the venue when we went for our tour. From pet policy to clean up to food allergies and whether or not they would stock specific craft beers for us at the bar. Our deposit was $1000.

    I would ask what is included when renting the reception venue- chairs, tables, kitchen, everything in the kitchen. What their rules are- example if they have a shutdown time for these events, if they include the bar or if its 100% up to you to figure it out. I would ask for the contract and read it over fine print! They tend to forget to tell you things and then this is where you find the answers out. I know ours had a fee they chose for the deposit. Also, mine charged 2 day min for events or 3 days. I would ask when you have access to it and when ends.

    One thing you'll definitely want to ask is how long you have the hall for. Some places you get it a few hours before and then are out by the end of the night. Others will let you keep the hall/room for the weekend so you don't have to worry about set-up/take down right before/after the event.

    For the deposit, it depends on the venue. Ours was a flat $2500 to book but some may require a percentage.
